Syncing Your Calendar and Contacts With Outlook

Mail synchronises by itself. Calendars, contacts, tasks and notes need one extra piece, because they are not part of the ordinary POP3 or IMAP conversation between Outlook and a mail server.

The utility that handles it is downloaded from inside webmail rather than from a website, which is why people who go looking for it never find it.


Installing the sync utility

  1. Log in to webmail as a user at webmail.infosaic.com.
  2. Click the Settings icon.
  3. Expand the My Settings folder in the navigation pane.
  4. Click Client Utilities.
  5. Download and install the appropriate version for your setup.

Once installed, it appears as a toolbar inside Outlook. From there it keeps your calendar, contacts, tasks and notes in step with the mail system, so the same appointments show up in webmail and on any device signed in to the same account.


Close Outlook before you install

This is the one instruction that causes almost every failed installation. The utility is an Outlook add-in, and it can only attach itself if Outlook is not running.

Closing the Outlook window is often not enough — the program can keep running in the background. Make sure every OUTLOOK.EXE process has ended before you start the installer. On Windows, check Task Manager and end any remaining Outlook process.

If the toolbar does not appear after installing, this is almost always why. Close Outlook properly and run the installer again.

Install it once, on the computer where you actually keep your calendar. Running the sync from two machines against the same account is how duplicate appointments appear, and cleaning those up afterwards is tedious.


If synchronisation does not work

  • The toolbar is missing. Outlook was running during installation. Close it fully and reinstall.
  • Nothing appears in webmail. Check the utility is configured against the right account, and that it has been allowed to run at least once.
  • Duplicate appointments. Usually two machines syncing the same account, or the same calendar imported twice.
  • Contacts sync but the calendar does not, or vice versa. Check which item types are selected in the utility — they are individually switchable.
  • It worked and then stopped. An Outlook update can disable add-ins. Check Outlook’s add-in settings and re-enable it.

If it still will not sync, open a ticket from your control panel and tell us your Outlook version and what the utility reports. That is usually enough to identify it.
